Data Mapping Project for Karakan

Background
We were engaged by Karakan to undertake research that would help them to understand the scope of a contemporary data management approach for a mental health service provider.
Karakan is a non-profit organisation with a team that provides support services to people with mental health needs in Queensland.
Their mission is to help people build resilience and “live life better, together”. Their services are centred around their three core values of inclusion, connection, and resilience.
The requirements of the data mapping project were to scan the funding and service delivery environment, understanding organisational requirements regarding quality certifications, compliance reporting, and data collection, in order to identify and implement the data categories and tools specifically relevant for the data collection needs of Karakan.
Approach
We took a 5-step approach to this project:
1. Desktop research — we undertook desktop research to identify the data requirements of relevant funder organisations, including certification and compliance requirements.
2. Benchmarking — we carried out a benchmarking exercise of comparable organisations to understand what types of data were being collected.
3. Draft report — the findings from the desktop research and benchmarking were then documented in a draft report and submitted to Karakan for review prior to a workshop with key Karakan staff.
4. Workshop — our team facilitated a 3-hour workshop with key Karakan staff to review the content and ensure a broad understanding of the draft report and seek feedback and input into the final report.
5. Final report — the feedback and input obtained from the workshop were incorporated into a final report and delivered to Karakan.
Impact alignment
This project contributed to our vision of fostering a more impactful social purpose sector. By scanning the service environment and understanding organisational data needs, we were able to provide timely advice to a not-for-profit who is helping at-risk people with their mental health and progress their strategic objectives in order for them to effectively deliver their services better.
Project outcome
The data mapping project resulted in the development of a final report on common data management used by similar services and a sense-making workshop with Karakan leaders.
